A Home Away From Home

Dear Hostellers,

I feel happy to share with you some thoughts that occur to me at this moment. Our Hostel is a home away from home. You are amidst people of various types. You hail from different regions. You represent various traditions, cultures, talents etc. I would suggest that you recognize these differences. Respecting differences builds up a healthy union of minds and hearts. Feel proud to be part of this miniature world.

You are aware that hostel life affords plenty of opportunities for growing, individually and collectively. During your stay in this hostel, I would expect you to learn to grow more loveable and capable. You must also realize that you are living with those who are to grow loveable and capable.

St John Berchmans, (a young Jesuit Saint) had the habit of writing in a small note-book he carried always with him, both the good and bad qualities of the people with whom he lived. He would pray to God for wisdom to imbibe the good qualities. He would also pray for strength not to be tainted by the bad qualities. We learn from others the art of growing in happiness.

Besides learning from others, you are to realize that you can also serve as a role model to others. Some of the traits in a cultured person are: remaining simple, humble, honest, open and truthful. Hostel life provides plenty of occasions to grow in all these traits. Be generous and magnanimous, as proposed by St Ignatius of Loyola, the founder of the Jesuit Order which runs Loyola College. I would like to pray that we all excel in such virtues. May all your days here in 'the home away from home' be filled with joy and peace.

01. OUR VISION

The Loyola College Hostel, basically a unit of Loyola College, is run by the Loyola College Jesuit Management for the benefit of the students from various walks of life. It subscribes to the ideals and objectives for which the college stands, namely love of God and of fellow human beings, genuine learning and responsible citizenship.

The hostel is administered by Fr Director who is assisted by a team of Deputy Director and Assistant Directors. Earnest and wholehearted cooperation is expected from the hostellers, parents and guardians towards making the hostel a homely, enjoyable and useful place.


02. OUR ADMINSTRATION

Only after the admission into the college, a student is eligible to seek admission into the hostel. The Application Form, available at the hostel office, is to be submitted to Fr Director after duly filling it up. The following are to be submitted along with the application form.

* Attested Copies of the Testimonials and Conduct Certificates from the heads of institutions last attended;
* Conduct Certificate from the Parish Priest, if the applicant is a Catholic
* Recently taken Four Passport-size Photographs,
* The address particulars and the approval of the Local Guardian, if the applicant is a Non-Indian;

The membership of the hostel is for one year only and it ends with the academic year at the college.

During the semester holidays, members are not permitted to stay in the hostel.

Suspension or dismissal of a hosteller from the college implies automatically suspension or dismissal from the hostel. Fr Director also can suspend or dismiss a hosteller, for violation of the hostel rules.

Hostellers who are irregular in attendance or having arrears will not be readmitted into the hostel.


03. OUR STRENGTH

a. Accommodation


Hostellers are to stay in the rooms allotted to them by Fr Director. The rooms allotted are for personal use, study and rest, reflection and prayer. Others are not to be entertained in the rooms at any time. The hostellers are not to change the rooms allotted to them at their will. Fr Director may transfer a hosteller from one room to another if necessary.

Hostellers are permitted to use a tube light only. Prior permission from Director is required for the possession and the use of extra electrical / electronic gadgets such as more powerful bulbs, fan, mobile phones, tape recorders, computers etc. Iron, heaters are not permitted in the rooms. There is a charge levied for the use of extra electricity. Failure to declare the possession and use of such items entails huge fines. Responsibility shown here is an element of social justice.

Hostellers are to keep their rooms neat and tidy. At times there are thefts reported. The hostellers are advised to keep the keys of their rooms safe. They are not to leave the room-keys on the door. Also, they are not to hand-over the keys to any person. They are not to authorise anybody to open the room allotted to them. When you go out lock the room properly and do not keep costly things and cash in your room. In case of theft of students' personal belongings the hostel administration will not be responsible. They are not expected to stick Posters, Banners and Pictures on the walls of the room.


Besides being responsible for the safety and cleanliness of the personal rooms, the hostellers are to ensure the safety and cleanliness of the entire hostel premises and more especially the immediate surroundings.

A member of the hostel is necessarily a member of the hostel mess. The membership in the hostel mess is indicated by the hostellers' possessing the relevant mess coupons. Non-possession of Mess Coupon leads to the loss of membership of the hostel. The hostel mess is run exclusively for the benefit of the hostellers.

The hostellers are not encouraged to entertain supply of food from any individual or institution within the hostel premises.

There are three kinds of mess: Vegetarian, Non-Vegetarian and North-Indian. The menu for each mess is prepared by the elected mess representatives and approved by Fr Director. All efforts are made to provide sumptuous and nutritionally balanced food within the targets set by the members of the mess committee. The day to day functioning of each mess is under the supervision of the Head Cook. For every mess, there are workers of various categories, such as cooks, table servers, cleaners, token collectors etc.

The hostellers collect the mess coupons on the 29th of every month at the hostel office. Entry to the mess is through producing the relevant mess coupon. A change from one mess to another may be made at the end of a month by obtaining the necessary coupons from the hostel office. Mess coupons are not transferable. Guests can take meals only with the Guest Coupons. Permission of Fr Director is required to take a guest for dinner at the hostel mess.

Food served is on an unlimited basis, excepting for some specified items. Wasting food is an offence.

Meal times are mentioned in the Hostel Time-Table. On some special occasions, the meal times are altered and duly notified by Fr Director. All the hostellers are to strictly follow the meal times to facilitate the hostel-workers to have well-earned rest. Late-comers are not permitted entry for meals.

Hostellers are not to enter the kitchen. They are to treat the hostel workers with respect and kindness.

Mess Fee Reduction may be claimed when a hosteller goes on leave from the hostel for more than three days. This is made possible by the hosteller submitting the duly filled in leave application form at the hostel office, prior to his leaving the hostel and submitting the relevant mess coupons. The application form is available with assistant directors.

Anything relevant to the running of the hostel - suggestions, difficulties experienced, complaints etc- may be communicated to any official (Fr Director/ Asst Directors/ Mess Representatives).

The monthly bill covering items such as Mess, Establishment, Maintenance, labour, Electricity and Miscellaneous is sent to the parents/ guardians. The payment is to be made before 10th of the ensuing month by Money Order or Demand Draft to
Fr Director, Loyola Hostel, Chennai - 600 034. An Acknowledgement Card may be claimed from the hostel office. A member not paying the hostel fees will be asked to vacate the Hostel.

Hostellers who are very poor and require financial assistance may meet Fr Director, with an Income Certificate from their Tashildar.


04. OUR EXPECTATIONS

As the hostel is an important wing of the college, all relevant points of discipline mentioned in the college calendar are to be strictly followed. Silence is to be regarded as the home of great souls, the nursery of noble thoughts and the storehouse of energies.

 

On all the days excepting Saturdays, the FIRST BELL for silence is rung at 8.25 p.m. And the SECOND BELL is rung at 8.30 p.m. At the stroke of the first bell, all are to move towards their respective rooms and at the stroke of the second bell the GRAND SILENCE begins and the hostellers are to be in their rooms. A short prayer after the second bell marks the beginning of the Grand Silence. This GRAND SILENCE lasts till the start of the time for breakfast of the following day. Avoid roaming around the hostel premises during the Grand Silence. Use of mobile phones during the silence hours is strictly prohibited and will be confiscated if found using. No one should be found in another's room during Grand Slience.

With the view to facilitating the roll-call by the Deputy Director and Assistant Directors, the hostellers are to be at their desks, keeping their lights on and with at least one of the shutters of the windows at their doors open. Over-night stay outside the hostel is permitted only by Fr Director.

Due to academic or medical reasons, when a hosteller has to go out, the LATE-CHIT from the Deputy Director / Assistant Director is to be obtained. While returning to the hostel after the second bell, the LATE-CHIT is to be left with the Hostel watchman at the gate. The entry-time is marked by the watchman.

When the hostellers leave for week-ends, they are advised to submit the relevant mess coupons at the Hostel Office to prevent them from being misused with permission of Assistant director. When the hostellers leave during week days or take leave in the college should get permission of the Director himself.

In case of emergency and in case of the absence of Fr Director, the hostellers having reason to leave are required to drop a written note at Fr Director's room. Further, the hostellers are expected to inform the Deputy Director / Assistant Director, in the absence of Fr Director.

 

Leaving the hostel during the course of studies require the prior written approval of Fr. Director. The purpose and the proposed duration of the absence from the hostel are to be indicated. A note from the parent / guardian is appreciated.

Special permission from Fr Director is required to display notices, to collect funds even for charitable purposes etc in the hostel premises.

All kinds of intoxicants and drugs are totally prohibited in the hostel. Smoking is strictly prohibited. Ragging is forbidden and those who indulge in any kind of ragging will be dismissed.

Guest Room facilities are available at the hostel.

Hostellers may take up part-time jobs or attend courses only with the prior permission of Fr. Director. Such programmes are not to affect their main courses of study in the college.

Nobody is allowed to go for part-time job or any study programme after 8.30 p.m.


Use of Cell Phone for simple communication is allowed. Care is to be had in its use. There is a punishment attached to the misuse of the Cell Phone.

Possession and use of vehicle other than bicycles are not permitted. Also, riding bicycles within the hostel premises is to be avoided.

Camera Cell phones are totally banned from the College campus and hence also from the hostel premises. Possession of camera cell phones will lead to confiscation by the authorities.

The screening of films at the hostel premises is with the approval of Fr Hostel Director.

Moving about in Lungi (Kailee) in public places such as Mess halls, Sauliere Hall and during public worship is to be avoided.

All are required to carry with themselves their College / Hostel Identity Card.


05. VARIA

The hostel office is opened from 8.30 a.m. to 4.30 p.m. on all days excepting Sundays and holidays.

Only hostellers are permitted into the Recreation Hall, Reading Room etc. News Papers and magazines at the Reading Room are not to be taken out.

Indoor games may be played at the Sauliere Hall.

Speedy information to Fr Director or Assistant Directors is must when someone is sick.

 

The bathing rooms are kept open at the following times:

5.00 a.m. - 8.00 a.m.

4.30 p.m. - 7.00 p.m.

 

Facilities for washing clothes are available. Kindly use water sparingly. The services of the barbers, dhobi may be utilized.

 

An excellent combined study is possible. The hostellers can effortlessly prepare for various competitive examinations by organising groups with members from different branches of studies.

 

All are encouraged to converse in English.

 

06. TO CATHOLIC HOSTELLERS

All the catholic hostellers are expected to participate at the daily Eucharist, the Tuesday Litany at the Grotto and other special prayers and masses arranged at the college / hostel premises. At the college church, the Holy Mass in Tamil is at 5.45 a.m. and in English is at 6.30 a.m. everyday. On Sundays, the Holy Mass in English is at 6.30 a.m. and in Tamil is at 8.00 a.m. It is an obligation for all the Catholics to attend the Sunday mass and the week days.

07. BEFORE YOU LEAVE THE HOSTEL

When a member leaves the hostel, he should take care to meet Fr Director well in advance. The Asst Director and the Block Assistant are to be satisfied and their signatures obtained regarding the safety and good condition of the things in the room. The members are to be prepared to set right the damage caused, if any.

The Hostel Identity Card, the Mess Coupons, if any, should be submitted in the hostel office.


The outgoing hostellers are expected to claim their credit balance within six months of leaving the hostel.


08. ALL THE BEST

Loyola Hostel is a convenient place for study. The administration strives to provide an atmosphere for a positive personal growth. Together with hard work and sincerity, the hostellers can develop themselves into fully integrated persons. Many persons who have stayed here feel proud about their association with us. I wish and pray that you be one of them.
